CONFIGURATION Settings

SET UP & UPDATE LEXA CONFIGURATION

Select configuration from the NAVIGATION bar.

Step 1: To Add Account, click view button near Accounts, then click Add Account button to add accounts, it will open a screen like below, add a account and click save to save the values or click cancel button to cancel it.
Enter Account code, Name and the type of Account(Preschool, Elementary or Community).

Step 2: To Add Class rooms, click view button near Classrooms, then click Add Class Room button to add a room, it will open a screen like below to add a class room and click save to save the values or click cancel button to cancel it.

Step 3: To add Class Tax

  • Set tax rates for Class, Add-on class and Add-on Product by using the “Add Tuition Fee Tax” , “Add Class Addon Tax” and “Add Add-On Tax Rate” buttons respectively.
  • Once the taxes have been added, admin has the option to edit the taxes using edit icon under the Action column.

Step 4: To Add Class Types, click view button in Class Types, then click Add Class Type button to add a Class type, it will open a screen like below to add a class type and click save to save the values or click cancel button to cancel it.

Step 5: To Add Contact Type, click view button near contact types, then click Add Contact type button to add a contact it will open a screen like below, add a contact and click save to save the values or click cancel button to cancel it.

Step 6: Class Coupons

  • Click View near coupons configuration file to view or modify the added coupons.
  • View page of all added coupons by the organization will be like the below screen.
  • Click Edit to edit the discount Coupon code.
  • Click Delete to delete the Coupon code, we cannot delete a coupon which was applied already.
  • To Add a new coupon for the Organization click Add a New Coupon button on the top right corner of the list.
  • It will open a screen to enter.
  • Enter Coupon name, Coupon Code, usage limit, Amount either Fixed (i.e., dollar) or Percentage of discount on subtotal amount of the cart.
  • Coupon applies to Class or Add-On Product or both.
  • Applies to total cart or individual classes if the coupon is a fixed amount.
  • Should select the coupon start date and expiry date of the coupon.
  • Select location, Type of Program and Type of subject from the drop down list.
  • Then select all classes or particular class.
  • If the coupon is only for specific class then select, select classes and specific classes from the drop down list.
  • Save Changes.

Coupons for Subscription Classes :

  • In Add / Edit coupon select the Check box “ Is this Coupon applicable to Subscription Tuition Fee ” to apply this coupon to the prorate and the every month subscription tuition fee.
  • Select the check box “Is this Coupon applicable to Subscription Onetime Fee” to apply the coupon to Onetime / Deposit charges.
  • Subscription class coupons are applied only in percentage of the fee.

Active / Expired Coupons
By default Active Coupon are loaded – The coupons which are valid for today.
Click on Expired coupon button to view the expired coupons in the organization.

Step 7: To Add Drop Reason click view button near Drop Reason , then click Add Reason button to add a drop reason, it will open a screen like below to add a drop reason and click save to save the values or click cancel button to cancel it.

Step 8: Email templates

  • Click -> ->
  • Click Add Template button to open the template and add the content to be sent in the email and also attach if any attachments are there using browse.
  • Click Add Template to save the email as a template.
  • The templates which are added here will be visible in the email templates in the send email drop down.

Step 9: How did you hear about us

To Add Hear about us click view button near hear about us, then click   to add a new values, it will open a screen like below to add and then click save to save the values or click cancel button to cancel it.

 

 

 

 

 

 

Step 10: Holiday List

  • Click -> Holiday List -> 
  • Click Add holiday button to open the form and select the location to which the Holiday is assigned, enter Holiday name, date and description of the Holiday if any.
  • Click Save to save the holiday in the list.
  • Note: To have holidays for all locations in the Organization / Franchisee select All locations from the drop down.

NOTE : IN CONFIGURATION FILES THE DELETE WILL NOT APPEAR TO THE TYPE OF PROGRAM/ TYPE OF SUBJECT/ SESSIONS/ CLASS ROOMS WHICH ARE ASSIGNED TO ANY CLASS AND ENROLLED BY THE FAMILY AT PRESENT.

Step 11: To Add Locations click View button next to it.Location Configuration table looks like the below screen.

Click edit icon to edit the location details, added location cannot be deleted by the Admin.
Click Add location to add a location.

Enter location code and click IsAvailable? To check whether the location code is available, if it is not available enter new code.
Enter location Name.
Enter Location Priority, i.e., in which order the location needs to be shown to the user in the front page.
Select location type i.e.is this location is for class or party select both the check boxes if this location is for both.
Enter Location notes.
Select the Account for which the location is like preschool / Elementary / Community, which is created in configuration -> Accounts.
Click save to save and click cancel to cancel the location information.

Step 12: Multiple Parties Copy

To do bulk copy click Multiple Parties Copy from configuration, will open a screen like below. Select the filters according to the need and click search button.

 

 

 

 

 

After search, it will open a screen like below where we can select the individual or multiple party to copy or click on the top checkbox to select all the parties and then click Parties Copy button to copy the parties.

Step 14: Party Add-On applies to

To Add Party Add-on applies to, click view button near Party Add-on Applies To, then click  + Party Add-on products applies to button to add, it will open a screen like below to add, click save to save the values or click cancel button to cancel it.

 

 

 

Step 15: Party Block Days & Times

  • Click Party Block Days
  • We can specify the block dates and times for the party.
  • Select the Location name, Party block date, block start time and block end time.
  • Entering this settings will block the party for the date and the time.

Step 16: Party Coupons

  • Click View near Party coupons configuration file to view or modify the added coupons.
  • Below reference screen shows the list of all party coupons in the organization.
  • Click Edit to edit the discount Coupon code.
  • Click Delete to delete the Coupon code, we cannot delete a coupon which was applied already.
  • To Add a new coupon for the Organization click Add a New Coupon button on the top right corner of the list.
  • It will open a screen to enter.
  • Enter Coupon name, Coupon Code, usage limit, Amount either Fixed (i.e., Amount) or Percentage of discount on subtotal amount of the cart.
  • Coupon is applicable to either Party or Add-On Product or both.
  • Should select the coupon start date and expiry date of the coupon.
  • Also Select location and Type of Program from the drop down list if applicable.
  • Then select the coupon applies to all parties in the location or it is specific to a particular party.
  • If the coupon is only for specific party then click Select Parties option and then select the parties from the drop down list.
  • Save Changes.

Active / Expired Coupons
By default Active Coupons are loaded – The coupons which are active and valid to use today.
Click on Expired coupon button to view the expired coupons in the organization.

Step 17: Party Location Schedule

  • Configurations -> Party Location Schedule, Click on-> button .
  • From the below Screen Admin needs to schedule the timings for the day, the party will take place.

Step 18: To Add Party Program, click view button near Party Program, then click Add Party Program button to add a Program for Party, it will open a screen like below to add a Party Program and click save to save the values or click cancel button to cancel it.

Step 19: Party Settings
Click Party Settings from the configuration file and then click Add Party Settings button from the below page.

  • It will open a Popup to select the location, Party duration, Break between the Party and also the number of party halls available.
  • Only one party setting time can be set for a location.

Step 20: Party Taxes

  • Set tax rates for Party and Add Party Addon Tax t by using the “Add Party Tax” and “Add PartyAddon Tax”  buttons respectively.
  • Once the taxes have been added, admin has the option to edit the taxes using edit icon under the Action column.

Step 21: To Add sessions, Click view button near the Sessions, then click Add Session button, it will open a pop-up like below. Enter Session name, start date and end date and click Save button or click cancel to cancel the values entered.

Step 22: To Add Type of Programs , click view button near the Type od Program, then click Add Type of Program button to add a Program Type, it will open a screen like below to add a Type of Program and click save to save the values or click cancel button to cancel it.

Step 23: To Add Type of Subject, click view button near the Type of Subject, then click Add Type of Subject button to add a Subject type, it will open a screen like below to add a Subject Type , select the appropriate Type of Program from the drop down menu and click save to save the values or click cancel button to cancel it.
